Scholarship Policy & Allocation Process

Fund Structure & Administration

Playse Cares operates as a fiscally administered scholarship fund of Miami Beach Youth Sports Foundation, a registered 501(c)(3) public charity based in the United States.

Playse Cares is not a standalone nonprofit organization. All charitable contributions are made directly to Miami Beach Youth Sports Foundation and are received, held, and managed in accordance with nonprofit governance standards and IRS regulations.

Miami Beach Youth Sports Foundation retains full legal and fiduciary responsibility for all funds associated with the Playse Cares Scholarship Fund.

Formal Eligibility Criteria

To be eligible for scholarship consideration within an active funding cycle, applicants must:

• Be enrolled in a structured, organized sports or leadership program
• Demonstrate financial need
• Meet the criteria of the applicable funding cycle
• Provide complete and verifiable documentation
• Comply with all application and reporting requirements

Eligibility parameters may vary by funding cycle, program category, or geographic focus.

Submission of an application does not guarantee funding.

Applications that do not align with the active funding cycle criteria will not be reviewed.

Current Funding Cycle & Program Scope

Playse Cares establishes funding priorities by cycle. While the Scholarship Fund may support a variety of program categories throughout the year, applications are only reviewed for programs that are actively open during the current funding cycle.

At this time, the Scholarship Fund is accepting applications exclusively for elite international tournament participation aligned with the mission of the fund.

Applications for local participation fees, recreational programs, camps, or non-elite travel will not be reviewed during this funding cycle.

Funding priorities and eligibility categories may change at the discretion of Miami Beach Youth Sports Foundation based on available resources and strategic focus.

Required Documentation Standards

All applications must include official documentation confirming participation and cost.

Required documents may include:

• Official invoice or registration confirmation issued by the program or tournament organizer
• Formal tournament invitation or official acceptance confirmation (if applicable)
• Itemized cost breakdown outlining eligible expenses
• Verifiable program details, including website and contact information
• Any additional documentation requested by the Foundation

Applications submitted without official documentation will not be reviewed.

Informal estimates, screenshots, or self-generated cost summaries are not considered valid documentation.

The Foundation reserves the right to verify all submitted materials prior to award approval.

Scholarship Review & Allocation Process

Scholarship applications are evaluated through a structured review process.

Awards are assessed based on:

• Demonstrated financial need
• Program alignment with the fund’s mission
• Competitive or program merit (when applicable)
• Availability of funds
• Compliance with eligibility and documentation requirements

Scholarship awards are partial, discretionary, and subject to available funding.

The Foundation may establish funding caps, modify award limits, or prioritize specific program categories based on strategic focus and resource availability.

Donors, ambassadors, or advisors may provide recommendations; however, all final funding decisions remain under the sole authority of Miami Beach Youth Sports Foundation to ensure regulatory compliance and prevent private benefit.

Eligible Expenses

Scholarships may support reasonable, mission-aligned expenses, including:

• Registration and participation fees
• Tournament entry fees
• Approved travel expenses directly related to participation
• Structured training or program tuition

Non-essential, luxury, or excessive expenses are not eligible.

The Foundation retains sole discretion in determining which expenses qualify for funding.

Disbursement Rules

Scholarship funds are typically disbursed directly to approved program providers, tournament organizers, or verified institutions.

Direct payments to individuals are rare and require additional documentation and approval.

Prior to disbursement, recipients may be required to provide:

• Updated invoices or payment confirmations
• Participation verification
• Travel itinerary (if applicable)
• Any additional documentation requested by the Foundation

The Foundation may delay or withhold payment pending documentation verification.

Cancellation, Withdrawal & Reallocation

If a recipient:

• Withdraws from the approved program
• Fails to participate
• Changes programs without prior written approval
• Experiences program or tournament cancellation

Miami Beach Youth Sports Foundation retains full discretion to:

• Cancel any unpaid portion of the award
• Reallocate funds to another eligible applicant
• Redirect funds to an alternative qualifying opportunity

Scholarship awards are non-transferable and may not be retained for personal use.

If funds have already been disbursed to a program provider, any refund eligibility will be governed by that provider’s policies. The Foundation is not responsible for third-party refund determinations.

Administrative & Compliance Allocation

A portion of contributions to the Playse Cares Scholarship Fund may be allocated toward administrative, operational, and compliance costs necessary to responsibly manage the fund and maintain regulatory standards.

Governance Authority

Miami Beach Youth Sports Foundation retains sole legal and fiduciary authority over:

• Eligibility determinations
• Funding priorities
• Award amounts
• Disbursement decisions
• Reallocation of unused funds
• Modification of funding criteria

All scholarship decisions are made in accordance with nonprofit governance standards, fiduciary obligations, and applicable IRS regulations.

Commitment to Responsible Stewardship

This governance structure ensures transparency, accountability, and responsible management of charitable funds while expanding access to sport, leadership development, and international opportunity.

Miami Beach Youth Sports Foundation remains fully responsible for the administration, compliance, and stewardship of all funds associated with the Playse Cares Scholarship Fund.
